3 Profile Toolbar
3.1 Overview ¶
The profile toolbar is located above the profile list and contains the most important functions for profile management. It is split into two areas: profile actions on the left, and search with filter options on the right.
For centrally managed profiles, a lock symbol with an explanatory text is also shown on the left; individual buttons are then greyed out depending on whether the central file is connected read-only or read/write.
3.2 New Profile ¶
Creates a new, empty profile and opens it in the Profile Settings window.

Procedure
- Click New Profile
- The Profile Settings window opens with default values
- Configure the profile according to your needs
- Click OK to save the profile
Tip: New profiles are active automatically after saving and immediately begin monitoring. However, only messages that arrive in the monitored folder after the profile is created or changed are processed automatically.
3.3 Edit… ¶
Opens the Profile Settings window for the currently selected profile.
Prerequisite: A profile must be selected in the profile list.
Alternative: Double-click a profile in the list
3.4 Duplicate ¶
Creates a copy of the selected profile with all settings, filters and tasks. The duplicate is named like the original with the suffix “Copy”.
Use case
Duplicating is useful when you need a similar profile with small differences. Example: you have a profile for invoices from supplier A and want to create a second one for supplier B, where only the filter and the target folder differ.
3.5 Catch Up… ¶
Opens the Catch-up processing window for the selected profiles. This lets you process messages already present in the monitored folders after the fact - for example after creating a new profile or after changing a profile.

3.6 Enable ¶
Enables the selected profiles. Enabled profiles:
- are marked with a check mark in the leftmost column
- monitor their configured folders
- process newly arriving messages automatically
Multiple selection: You can enable several profiles at once by selecting them while holding the Ctrl or Shift key.
3.7 Disable ¶
Disables the selected profiles. Disabled profiles:
- are shown without a check mark in the leftmost column
- do not monitor any folders
- do not process any messages
- retain all settings and can be re-enabled at any time
Tip: Disable profiles temporarily when you want to make changes without messages being processed in the meantime.
3.8 Remove ¶
Deletes the selected profiles after a confirmation prompt.
Warning: Deleting a profile cannot be undone. Before deleting important profiles, create a backup via Menu -> More -> Back Up Application Data….
Multiple selection: You can remove several profiles at once.
3.9 Profiles ¶
The Profiles button opens a drop-down menu with bulk actions as well as the import and export functions.
3.9.1 Catch Up All Profiles ¶
Performs catch-up processing for all active profiles. Useful when you want to bring all mailboxes to a consistent state after a program pause.
3.9.2 Enable All Profiles ¶
Enables all profiles with one click.
3.9.3 Disable All Profiles ¶
Disables all profiles with one click. Useful for maintenance work or when you want to stop processing temporarily.
3.9.4 Remove All Profiles ¶
Deletes all profiles after a confirmation prompt.
Warning: This action cannot be undone.
3.9.5 Import Profiles… ¶
Imports profiles from a previously exported JSON file. The program detects the format automatically (V2, V3 or V4) and, for dependent resources such as accounts, printers or mapping tables, offers a selection dialog so that you decide yourself which components are taken over.
Conflict handling: If an imported profile has the same name as an existing one, the program asks for confirmation.

3.9.6 Export All Profiles… ¶
Exports all profiles to a JSON file. To export only a single profile, use the context menu on the entry in the profile list.
Tip: Use the export to transfer profiles between different computers or to create backup copies of individual profiles.
3.10 Search ¶
On the right side of the toolbar you will find a search box for filtering the profile list. As soon as you enter a search term, live search starts and only matching profiles are shown. An empty search shows all profiles again.
3.10.1 Show Exclusively ¶
When enabled, only the profiles matching the search term are shown. Non-matching profiles are hidden.
3.10.2 Highlight ¶
When enabled, profiles matching the search term are highlighted in the list while all profiles remain visible.
Tip: Combine Highlight with a multi-selection to quickly enable or disable all profiles with a specific component in the name together.
