8.8 Monitored Folders
8.8.1 Overview ¶
In the Monitored Folders area, you specify which email accounts and which folders within them the profile should check. A profile can monitor multiple accounts and multiple folders per account.
Profile settings, Monitored Folders area: list of account and folder entries with per-row subfolder switch and IMAP IDLE hint
8.8.2 Prerequisites ¶
Before you can select folders, at least one email account must be set up under Program Options -> Email Accounts. The account is configured with server data, login credentials and, if needed, OAuth permissions. A detailed guide is available in Chapter 50.
8.8.3 Toolbar ¶
Above the list you will find three buttons:
| Button |
Effect |
| Add |
Opens the Add Monitored Folder dialog |
| Edit |
Opens the selected entry for editing - also possible by double-clicking the entry |
| Remove |
Removes the selected entries after a confirmation prompt |
8.8.4 List Columns ¶
| Column |
Description |
| Email Account |
Display name of the account the entry is assigned to |
| Folder |
List of monitored folders within the account. Multiple folders are separated by commas |
| Subfolders |
Checked if subfolders are also monitored |
Multi-selection with the Ctrl or Shift key is possible to remove several entries at once.
8.8.5 Adding or Editing an Entry ¶
Clicking Add or Edit opens a dialog with the following inputs:
| Input |
Description |
| Email Account |
Selection from the accounts configured under Program Options |
| Folder |
Selection of one or more folders from the mailbox (Inbox, subfolders, archive, …) |
| Include subfolders |
When enabled, all subordinate folders are also monitored |
Tip: When adding a folder, the program retrieves the folder structure live from the server. For large mailboxes this can take a few seconds.
8.8.6 Multiple Folders Per Account ¶
You can assign several entries with the same email account to a profile, for example if different folders are to be monitored at different depths - one with subfolders, another without.
Use case: You want to monitor the Inbox including all subfolders, but exclude the Archive folder. Create two entries: Inbox with subfolders enabled, Archive without subfolders. Sort the order in the list so that the Archive profile cannot affect other profiles (see Chapter 4.4).
8.8.7 Real-Time Reception via IMAP IDLE ¶
For IMAP accounts, the program supports real-time reception via the IDLE protocol. As soon as the server reports a new email, processing begins immediately - independent of the configured check interval. Configuration is done in the respective email account under Program Options -> Email Accounts (see Chapter 50.5).
Note: IDLE is enabled by default. For Microsoft 365 (Graph) and POP3, checking is performed exclusively at the interval.
8.8.8 Unreachable Folders ¶
If a monitored folder is not reachable during a processing run (e.g. because the account cannot establish a connection or the folder was deleted), an entry appears in the Unreachable Email Folders tab of the log list. There the entry can be redirected to another folder with the Correct button, or via Show Usage you can trace which profiles reference the folder.
Further information: (see Chapter 6.2.5) and (see Chapter 50.6).
