40.25 Other

40.25.1 Overview

In the Other area you find a collection of various options that do not fit into the other thematic areas - primarily behavior of placeholders, subject line processing, file name conventions and delayed processing.


40.25.2 Placeholders

Field Description
Replace non-alphanumeric characters When active: in values used as file or folder names, replaces all characters except letters and digits with an underscore. Default: off. Useful for strict file system requirements or transfer to systems with limited character acceptance

Example with the option active: “Mueller & Sohn GmbH (Berlin)” becomes “Mueller_Sohn_GmbH_Berlin” - spaces, parentheses and ampersand disappear.


40.25.3 Subject Line

Configures how the subject of an email is cleaned up when used as part of a path or file name.

Remove prefixes

Field Description
Remove reply prefixes Removes leading strings like Re:, AW:, WG: from the subject before it is used as file/folder name
List of prefixes Semicolon-separated (e.g. Re:; AW:; WG:)

Useful so that reply emails do not land in a subfolder Re_Order_12345 even though the original order had the folder Order_12345.

Ignore recipient addresses

Field Description
Ignore recipient addresses Skip certain recipient addresses (or names) when evaluating the recipient placeholder
List of addresses Semicolon-separated (e.g. noreply@; postmaster@; archive@company.com)

Useful when an archive mailbox is automatically copied alongside the actual recipient - the archive recipient should not then appear in the path.

Replace generic usernames

Field Description
Replace usernames Replace generic local parts like info, office, mail with the domain
List of usernames Semicolon-separated (e.g. info; office; mail)

Example: info@mueller-gmbh.de becomes mueller-gmbh.de - useful for clearer path structures when many suppliers write under info@....


40.25.4 File Names

Field Description
Underscores for duplicates When a file name already exists on save, an underscore is appended (File_.pdf) instead of a number (File (1).pdf). Default: off

The default behavior is a parenthesized counter - useful for most setups. Underscore can be useful in file systems or workflows where parentheses are undesired.


40.25.5 Delayed Processing

Field Description
Simplify conflict check On profile import: suppress the conflict warning “delayed processing could miss emails” if the delaying profile has a filter different from the moving profile (assumption: deliberate overlap). Deletion conflicts are still always shown. Default: on
Full check now Button that triggers an immediate conflict check of the current profiles - independent of the simplified logic. Returns one warning per actually colliding configuration

40.25.6 Use Case

Central collection point for suppliers

Replace generic usernames: on. List: info; office; mail; sales; service. This way all incoming emails from info@firm-x.com, office@firm-x.com, service@firm-x.com land in the same folder firm-x.com - instead of three separate folders per supplier.


40.25.7 Tip

  • Replace non-alphanumeric characters is a global setting - it affects all profiles as soon as it is active. Before enabling, check whether you might still need special characters in some paths
