8.7 Mode (File Type)

8.7.1 Overview

The processing mode defines which files the profile processes and which file the tasks refer to. The selected mode appears in parentheses in the navigation label (e.g. “Mode (XML from PDF)”) and as a short form in the Mode column of the profile list.

8.7.2 The three modes

Process XML file (XRechnung)

Processes XRechnung/ZUGFeRD XML files directly. The tasks refer to the XML file.

Typical use: Invoice intake via XRechnung (plain XML files).

Process PDF file (ZUGFeRD)

Processes ZUGFeRD/Factur-X PDF files. The invoice data is read from the embedded XML; the tasks refer to the PDF file.

Typical use: Invoice intake via ZUGFeRD PDF when the PDF file itself is to be filed, printed, or forwarded.

Note: The Print attachments task is not offered in this mode - the only attachment here is the embedded invoice XML, and XML files are not printable (use Save XML attachment to file it). When a profile is switched to this mode, existing “Print attachments” tasks are removed from the task list with a notification.

Extract XML from PDF file and process it

Extracts the embedded XML from the PDF file. Subsequent tasks refer to the extracted XML file.

The XML file is automatically extracted to a temporary folder and made available to the subsequent tasks - nothing needs to be configured here. To store it permanently, add the Save XML file task (see chapter 9).

Note: The Delete file task is not offered in this mode - the temporarily extracted XML file is cleaned up automatically anyway. When a profile is switched to this mode, existing delete tasks are removed from the task list with a notification.

Typical use: Further processing of the XML data, e.g. handover to an accounting system that expects XRechnung files.

8.7.3 Interplay with the monitored folders

Depending on the mode, monitoring only considers the matching file types (XML or PDF files) in the monitored folders. Other files remain untouched.
